01 — Pipelines
Track every conversation.
Every deal you're working on, in one place. Drag from "Discovery" to "Proposal Sent" to "Won." Run multiple pipelines if you sell different things to different people. Mark deals Open, Won, or Lost — and capture why you lost them so you can spot patterns.
- Multiple named pipelines (e.g., "Consulting clients," "Course launches")
- Customizable stages per pipeline
- Open / Won / Lost statuses with mandatory loss-reason capture
- Activities per deal: calls, meetings, tasks, emails, notes
- Activity timeline on every deal and contact
02 — Contacts
Know your contacts.
Rich contact cards that actually feel like a person, not a database row. Add custom fields for whatever matters to your business — a "VIP" tag, a "client since" date, a dropdown for industry. Paste a LinkedIn URL and get a quick link back to their profile. If you've connected Gmail, every email you've ever sent or received with that contact shows up automatically.
- Custom fields: text, number, date, dropdown, multi-select, URL, currency
- LinkedIn URL field with one-click open-in-browser
- Auto-pulled email history per contact (Gmail integration)
- Rich notes with formatting, lists, and links
- Tag-based filtering across your whole contact base
03 — Sequences
Do real outreach.
Send personal-feeling emails through your own Gmail. Save templates for the things you write over and over (intro emails, follow-ups, proposals) and use variables like {{first_name}} so each message feels written for them. Build multi-step sequences for prospect outreach — and the moment someone replies, the sequence pauses automatically.
- Send via your own Gmail account (your domain, your sender reputation)
- Reusable templates with variable substitution:
{{first_name}}, {{company}}, {{custom_field}}
- Multi-step sequences: send, wait N days, send again
- Reply detection: auto-pause when a contact responds
- Per-sequence stats: opens, replies, bounces
04 — Calendar
Stay on top of your calendar.
Two-way sync with Google Calendar. Create a meeting from a contact card and it shows up on your calendar with the right invitee. Edit a meeting on Google Calendar and it updates in TheCRM. Every meeting linked to a contact appears on that contact's timeline so your prep is one click away.
- Two-way Google Calendar sync
- Meeting → contact / deal linking
- Calendar shows on contact card timeline
- Day, week, and month views
05 — AI
Use AI when it helps.
AI features are optional — and use your Anthropic API key, so you pay Anthropic directly with no markup from us. Click "Brief me" on a contact and Claude reads through every interaction (notes, emails, deals, activities) and writes a one-page summary of where you stand. Click "Draft email" and Claude proposes three variants across six common intents.
- Bring your own Anthropic API key (no platform fee)
- Per-contact and per-deal AI briefings
- AI email drafts: 3 variants per intent, 6 intent categories
- Prompts go straight from your Mac to api.anthropic.com — we don't proxy them
- Skip AI entirely if you prefer — every other feature works without it
06 — Move in. Move out.
Coming from another CRM?
Paste a Pipedrive API token and TheCRM pulls your full account — organizations, contacts, pipelines, stages, deals, activities, notes — preserving the structure. LinkedIn CSV exports work too. And if you ever want to leave? Full CSV export, every table, every field. No proprietary file format. Not held hostage. Not locked in.
- Pipedrive: one-click import via API token, ~10 seconds per 1,000 contacts
- LinkedIn: CSV import (Connections, Messages)
- Excel: XLSX import with column mapping
- Full CSV export from Settings → Data Export
- Direct SQLite database access (file lives in
~/Library/Application Support/TheCRM/)
